Review the source document
Choose the current version of the document. Old fields, unclear instructions, and duplicated questions become problems in the form as well as the PDF.
Check whether the file contains selectable text or scanned pages. Faint scans, handwriting, and complex tables can require manual correction. Keep the original document available while reviewing the proposed form.
- Confirm the document version.
- Check that all questions and labels are readable.
- Identify tables, checkboxes, and multi-page sections.
- Note fields that require special formatting.
Match the field to the answer
Choose a field type that fits the information: a date, a number, a selection, or a written explanation. A field’s appearance in the PDF does not always tell you the best way to ask the question online.
Review which answers are required. Add instructions for terms or requirements that customers commonly ask about. Keep the meaning of the original question clear when improving its wording.
Map answers to the document deliberately
Decide where each confirmed answer belongs in the output template. Check fields that share similar names and values that appear more than once.
Long answers need space. Dates, checkboxes, and selected options need consistent representation. A successful data collection step does not by itself prove that the completed document is readable.

Review the complete process
Work through a representative document from start to finish. Review the questions as a respondent and the output as the person who will use it.
Decide whether your team also needs the answers as structured data. A PDF may be the right document for a file, while API access or exports are more useful for reporting and the next system. Confirm the output formats and integrations available for your chosen product.
